Privacy Policy

Effective 1 September 2026. This policy explains what information the FlatCare app and website collect, why we need it, who can see it and the choices you have. We never sell your data.

Information we collect

Account information

When your society adds you to FlatCare we receive your name, mobile number, flat and block, and whether you are an owner, tenant, committee member or security guard. You may also add a profile photo.

Household information

Details you choose to add about your household, such as family members (name, relation and optional phone number) and vehicles (vehicle number and type).

Activity in the app

Visitor requests, approvals, gate passes and entry/exit times; visitor names, phone numbers, photos and vehicle numbers recorded at the gate; complaints and any photos you attach; maintenance bills, payment status and receipts; poll votes and responses to notices and events.

Device information

Device model, operating system and app version, and a notification token that lets us send alerts to your phone. We keep basic logs (time of a request, error reports) to keep the service secure and fix problems.

Camera and photos

The camera is used only when you choose to take a photo (for example a visitor photo at the gate or a complaint photo) or to scan a gate pass QR code. We do not access your camera or photos in the background.

How we use your information

Running the service

To sign you in with an OTP sent to your mobile number, let security guards verify visitors and notify you when someone arrives, show your maintenance bills, record payments and generate receipts, and share notices, polls and events from your committee.

Support and safety

To help your committee resolve complaints, provide support when you contact us, keep the service safe, prevent misuse, fix technical issues and understand how features are used so we can improve FlatCare.

Who can see your information

Your information is shared only inside your own society, and only with the people who need it. Residents of other societies can never see your information.

Society admin and committee

Resident, household, visitor, complaint and payment records, so they can manage the society.

Security guards

Your name, flat and phone number, so they can contact you about visitors, deliveries and emergencies.

Other residents

In the society directory, other residents of your society see your name, block, flat and phone number so neighbours can call or WhatsApp each other. Your email address stays hidden.

Service providers

A few trusted companies help us run FlatCare. They process your information only on our behalf and only for the task we give them.

Payments - Razorpay

Online maintenance payments are handled by Razorpay. Your card, UPI and bank details go directly to Razorpay and are never stored by FlatCare.

Notifications - Google Firebase

Firebase Cloud Messaging delivers visitor alerts, bills and reminders to your phone.

SMS and hosting

An SMS provider sends the one-time passwords (OTPs) you use to sign in, and secure cloud servers store the service's data.

Security and retention

How we protect data

All data travels over encrypted HTTPS connections, access is limited by role, sign-in uses one-time passwords and each society's records are kept separate. No method is 100% secure, but we work continuously to protect your information.

How long we keep it

We keep your information while you are a member of your society on FlatCare and for as long as your society needs it, for example payment records for accounts and audits. When you leave or your account is closed, we delete or anonymise what is no longer needed, unless the law requires us to keep it longer.

Legal requirements

We may disclose information if we honestly believe it is necessary to follow the law or a lawful government request, to protect the rights or safety of FlatCare, its users or the public, or to prevent fraud and misuse.

Your rights and choices

Access and correction

View and update your profile, family members and vehicles in the app at any time. Ask us for a copy of your information or to correct anything that is wrong.

Deleting your account

You can ask us to delete your account and personal information. See how to delete your FlatCare account.

Notifications and permissions

Choose which notifications you receive under Notification Settings in the app, or turn off notifications and camera access for FlatCare in your phone's settings.

Children

FlatCare accounts are meant for adults. Parents may add children as family members. We do not knowingly collect personal information directly from children under 18.

Changes and contact

Changes to this policy

We may update this policy from time to time. We will change the effective date above and tell you in the app before any important change takes effect.
